I've submitted my Monash Abroad (MA) application, now what?
You must check your Monash student email account frequently as we will contact you via that address. An acknowledgement email will be sent to your Monash student address. This email will be sent within two to three weeks of the application deadline. It will acknowledge your University preference and the number of semesters you have applied for. It will ask you to provide items that are missing from your application. You will be asked to provide a photocopy of the information page of your up to date passport if you haven't already. It will outline the process of what will happen next.
What are my chances of being accepted by Monash Abroad?
The following are factors that are taken into consideration when nominating a student for exchange:
The student must meet all Monash eligibility requirements. The student must meet any additional requirements that the host university may have. The number of students that Monash sends to a particular partner must be similar to the number Monash receives from the partner (aka. the balance).
Check the Monash Abroad website to see if exchange to your institution of choice is available. Be aware that popular institutions might be full or limited. If we receive more applications to a university than places available we nominate students based on grades, so the higher grades you have the better chance you have of being nominated. You are only able to submit one application per semester. If you are not nominated to your first choice we will give you the opportunity to apply to a back-up institution. We will let you know which universities are available.
My application has been accepted by Monash Abroad, what happens next?
Within eight weeks of the application deadline you will be advised whether Monash Abroad has accepted your application. If MA accepts your application, this means you will be nominated to the host university. If you are nominated, your International Education Coordinator (IEC) will contact you with details about how to complete the host university's application. The host university application will generally need to be completed within a week and then submitted to your IEC at the MA office. Your IEC will send your application to the host university with all other nominated students' applications. You should not book flights or arrange travel insurance at this stage as you have only been accepted by Monash University and not the host university. It can take up to 3 months from the date we nominate you before you may receive official acceptance from your host university.
I'm accepted, now what?
Your IEC will advise you of your official acceptance and will send you an official acceptance email which will outline the next steps involved. If you receive an official acceptance from your host university directly, please contact your IEC to advise them of this and send them a copy of the acceptance letter. Whilst waiting for your host university acceptance, you may find extra units at the host university that you would like to study. You will then need to :- o submit them to your faculty for approval. o When you receive approval from your Monash faculty (signed off by your faculty exchange adviser), send a copy to your IEC at Monash Abroad (by email). You must update your enrolment in person at your faculty to exchange or study abroad units. You must have received your host university acceptance in order to complete enrolment. Students must independently apply for their visa. IECs cannot advise or answer in-depth visa questions. You must submit a signed copy of the Acknowledgement of Conditions form (this is handed out at the Pre-Departure session held late in each semester). You must purchase travel insurance.
What kind of insurance do I need to get?
It is a compulsory component of your exchange/study abroad program that you purchase travel insurance for the entirety of your study program. You will not receive a Monash Abroad travel grant until we received your travel insurance details. In order for Monash Abroad to approve your travel insurance, you must email a copy of your insurance certificate to Monash Abroad that shows; o Your name o The country/continent your exchange is on o Your travel dates (that cover your exchange program) o Medical coverage is unlimited
Monash Abroad does not endorse particular travel insurance providers. You must research travel insurance options using the above guidelines. Some host universities have comprehensive health insurance that all incoming exchange students need to purchase. You will still need to purchase travel insurance even if this applies to you. It is not uncommon to have to purchase two insurance policies while overseas on exchange.
When will I get my travel grant?
Your MA travel grant payment will be processed by an electronic transfer directly into your nominated bank account approximately four weeks before your overseas program commences.
Your travel grant will not be processed until you have met the following requirements: o You have received your host university acceptance email by your IEC. o You have enrolled in exchange/study abroad units at Monash for the semester(s) you are abroad. This will need to be done in-person at your faculty. o You have signed and returned your Acknowledgement of Conditions form to Monash Abroad. o You have forwarded a copy of your comprehensive travel insurance certificate to Monash Abroad.
Am I eligible for OS-HELP?

If you are eligible: You will receive an email if the processing of your loan application is pending for you to meet other requirements. You will receive a loan approval letter and a debt confirmation form in the mail. You must return your completed debt confirmation form within one month from the date of the letter. Only the original form is accepted. You will receive an email after you return your completed debt confirmation form advising you when your loan payment will be processed. Loan payment is generally processed approximately six weeks before your overseas program commences. Your loan will be paid into your nominated bank account provided with your MA application
If you are not eligible: You will receive a letter in the mail advising that your loan application is rejected.
I'm back from exchange, now what?
Your host university will send an official academic transcript to Monash Abroad. It can take up to 2 - 4 months for you to receive your academic transcript from your host university. When Monash Abroad receives your academic transcript from your host university, we will forward a copy to your faculty/faculties for them to update your WES record and send you the original. If you receive your academic transcript directly from your host university, please forward a copy to your faculty/faculties and a copy to the Monash Abroad office.
