Templates in MS Word and Powerpoint
The Monash Univesiry Library's intranet Help pages provide an outline on how to add templates into MS Office. Users can add up to two dozen useful templates including templates for:

brochures
-
handouts
-
flyers
-
submissions
-
policies
-
presentations
-
agendas
-
meeting minutes.
These templates are particularly useful for teams and staff who are not trained MS Office operators and struggle and often are confused with such documents. The Monash University Matheson Library have adopted these templates and have a practice of rotating committee roles and positions so staff can learn these skills. All their committee minutes and agendas are maintained in the CMS, intranet, and the HTML annual index pages are generated by the .htx auto-index file.

How to Add Library templates to Word and PowerPoint

Open Microsoft Word

From the Tools menu, select Options
-
Select the File Locations tab
-
Under File Types select one called Workgroup templates

Click the Modify button
-
You now have a standard Windows box where you can select a location.
The location to select is: v:\templates.
You can either type this in the bottom box under Folder name: or open the Look in: box (at the top) and select the folder from the directory tree.

When you have finished, click OK

This returns you to the Options box; click OK again
Once you have linked the templates directory to Word, PowerPoint will also be able to access the library templates.
To test if it has worked:

From the File menu, select New
-
The New Document task pane will open. Under Templates click On my computer...

In your templates, select the tab labelled Monash Library.

You should see the list of library specific templates

To use one, simply select it and click OK
Tip - ensure that Create New has Document selected (this option is near the bottom of the window - it usually defaults to Document)

You can now type whatever you want into the document and save it to where ever you like (don't worry, you can't overwrite the template)
Word includes standard tabs for particular types of documents (eg Memos, Letters & Faxes, Publications). The library templates should also appear under these tabs.
*Don't forget to fill in Document Properties*
To do this, from the File menu, select Properties. A better way to remind yourself to fill in the Document properties, is to get MS Word to prompt you every time you 'Save As:'

From the Tools menu, select Options

Select the Save tab
-
Make sure there is a tick beside the option: Prompt for document properties.
