Instructions for setting a Researcher Profile in SMARTS & GENIUS

Please use Internet Explorer.

  1. Click Get Profile Login from the side bar.

  2. Select your state. (use the scroll bar to navigate to Victoria).

  3. Select Monash University from the list of institutions.

  4. If you are a new user, check off "Profile Not Found in List."

  5. Click 'continue'

  6. The profile registration screen will appear.

  7. Enter your basic details - Last name, First Name, email address
  8. Setting your department: Please leave the entry "Default Dept - PLEASE SELECT DEPT" as it is and this will allow you to continue with the rest of your profile in the one sitting. (Otherwise you would have to stop at this stage, receive a system-set user name and password - usually a set of numbers - and will only be able to proceed further with your entry after you have been vaildated. This will require you to login again) 
    • Note: You can, once you have set your initial profile with a more user friendly name and password of you choosing, amend your profile to show the correct Departmen as follows: 
      • Next to the Primary Department field, click 'set' to select your Primary Department affiliation.
        The Departments pick list will appear. Locate your Primary Department, and click 'select'.
        Once you have created your profile, you will be able to set multiple secondary department affiliations, if applicable.
         
  9. Username - may be from 8 to 20 alphanumeric characters long.
    Password - The password must be at least 8 alphanumeric characters long.
    For security purposes, your username and password may not be the same. Re-Enter Password to confirm. Your password is case sensitive

  10. When all fields have been completed, click Continue.

  11. When you have entered the details of your profile, the Systems Administrator will be notified by email automatically. The Systems Administrator will then check your eligibility as a staff member and validate your entry. 

  12. A notice that your profile login has been emailed to you will appear. When you have received the login information, please use Internet Explorer to open the database. (You can cut and paste the url.)

  13. Click 'Login' on the left-hand Side Bar to log in to your profile using your user name and password provided.

  14. You can change your User Id and Password  - To do this - login with that which you used or were given and go to:
    Personal > Profile > General.
    At the bottom RHS of the page, click on "Set" under the Security Section. You can change your user name and password from here.

  15. After logging in, the main Portal will open giving access to the various components of the Portal as well as Modules through the Portal Side Bar. The Portal is composed of two main segments: Personal (for all users) and Administration (for Systems administrators only)

  16. This multi-window functionality crosses over to the individual objects. Each object opens into its own independent window, allowing the user to access several objects at the same time, if desired. 

  17. Go to Find Funding - This opens the SPIN database, enabling easy access to new funding opportunities from within your portal. 

  18. Also available in Find Funding is SMARTS, which allows you to set up a personal profile to receive automated e-mail alerts of funding opportunities that match your interests.
    This has links to set up your profile:  

    • Keywords are required for both SMARTS and GENIUS
      Holding the control key down enables multiple choices to be made.
    • Award Types
    • Geographical Restrictions (for SMARTS only).
    • Locations tenable
    • Other categories to build a very detailed research profile (for GENIUS).

  19. CV Database - Known as the Global Expertise Network for Industry, Universities, and Scholars (GENIUS), this allows access to the GENIUS CV Database for collaborative efforts.

Profile- Contains several sections which can be used in the creation of on-the-fly CV Bios for all objects within the Portal.

Messages - An object-oriented messaging center used in combination with all modules. The Messages Center allows users to send object links to message boxes of others for review or collaborative feedback. The internal Routing process available with each designated module also takes advantage of the functionality within the Messages Center.

Calendar - Keeps track of tasks, appointments and trial-related information, such as visits and resource scheduling.

Contacts- Allows the user to track information associated with designated contacts or objects within the Portal.

Should you be getting too many emails or none at all, you may wish to alter your keywords or your selection of award types. You may also wish to change the way in which emails are forwarded to you. This is done by updating your profile.
