Application Procedures

Submitting Your Application

All Monash research funding applications - grants, including shared grants, contracts and donations - must be accompanied by the Monash Research Office (MRO) Cover Sheet and submitted through the Monash Research Office by the internal deadline, unless specified otherwise (See Electronic Submission

How the Research Office helps with your application

  1. The Research Office sets internal closing dates, usually about 10 days before the granting body deadline, to allow sufficient time for the checking of applications.

  2. Research Office staff are available to assist you with interpretation of complex guidelines. We review your submissions and offer constructive comments and suggestions to increase their clarity and effectiveness.

  3. We check your application for compliance with granting body guidelines e.g. eligibility, required elements, attachments, number of copies.

  4. We offer suggestions, in relation to the text where relevant - and when time permits - in order to better align the application to the granting body’s preferred submission style, or to avoid the application being rejected because required information has not been provided.

  5. We check that the budget has been prepared according to granting body requirements e.g. overhead costs included, exclusive of GST. We do not undertake detailed budget checking such as whether correct salary scales have been used or whether totals are correct; these are matters more appropriately handled at the Departmental level in conjunction with the Resources Managers.

  6. If required, we advise you by phone or email of suggested changes to the application and how soon the revisions are required.

  7. We despatch the application with a covering letter to the grantor stating that the University endorses the submission of the application. In addition we will attach the ATO letters endorsing the university as a tax deductible gift recipient and as an income tax exempt charitable entity, and any Annual Report if required.

  8. Details of applications are recorded on the university’s grants database and the information is used to provide feedback to faculties.

Running late with your application?

Because of the number of processing steps involved, we need prior warning of late applications. Applicants who anticipate having difficulty in meeting the Branch deadlines should contact the Monash Research Office to arrange an appropriate extension of time and inform their Associate Dean (Research) of this arrangement.

Role of the Department for Major Schemes

Beside the HOD's endorsement of the application on the Monash Research Office Cover Sheet and/or the application itself, it is expected that for major schemes a more detailed examination of the text of the application would be undertaken within the Department, School or Centre. In such cases the signatures of the reviewer/mentor/reader and all named participants are required on the appropriate cover sheet. 

The HOD is aware of the Department's emerging and existing research strengths and where the Faculty/Department/School wishes to position itself and should review applications to major schemes.
