Changing your enrolment details

Adding and discontinuing units

When adding or discontinuing a unit, you must be aware of the relevant census dates which apply to your studies to avoid penalties.

If you are seeking to add or discontinue a unit(s), you should either make the amendments via the Web Enrolment System at https://my.monash.edu.au/wes or by submitting an `Enrolment amendment' form. These are available from the Student Service Centre or your faculty office and should be returned to your faculty office.

Deadlines for adding units

An off-campus learning unit can only be added up until two weeks before the commencement of the semester in which it is being offered. An on-campus unit can only be added up until two weeks after the commencement of the semester in which it is being offered.

In exceptional circumstances, and only with the approval of your faculty*, you may be permitted to make the late addition of a unit. The late addition of units will attract a late unit addition fee.

    * The Faculty of Business and Economics does not allow late enrolment in any unit.

Deadlines for discontinuing units

If you discontinue from a semester one or semester two unit in the first four weeks of the semester, there is no academic or financial penalty.

If you discontinue from a semester one or semester two unit from the commencement of the fifth week to the first day of the 10th week of the semester, the unit will show on your academic record as `WD' with the date of discontinuation, and you will be charged a student contribution amount for the unit and/or full tuition fees (and amenities fees if enrolled at Sunway). A semester one or semester two unit discontinuation made after the first day of the 10th week of the semester will show as a `WN' (Withdrawn Fail).

Changes to research candidature

Doctoral and MPhil candidates who wish to vary their candidature must complete the required form. Discontinuing a course

When discontinuing a course, you must be aware of the relevant census dates which apply to your studies to avoid penalties.

If you want to fully discontinue from your course (ie you may receive another course offer that you wish to accept), you must notify the University in writing within the first four weeks of first semester if you do not want to incur any financial or academic penalties. This can be done by completing an `Enrolment amendment' form - available from the Student Service Centre or your faculty office - and return it to your faculty office (or if studying at Monash South Africa, to the Student Service Centre).

If you are studying at Sunway and want to fully discontinue your studies at that campus you need to complete an `Application for withdrawal' form and return it to your faculty or school.

International students studying at an Australian campus should first contact the International Student Support Unit to discuss any impacts associated with their student visa.

Discontinuing a course (international students studying at Sunway)

If you want to discontinue your course of study, you must see your course manager and inform the International Student Services Unit. You will be advised of the documents that you will need to submit to the unit before your discontinuation process is completed. If you have any questions about fees and refunds, contact the finance office on that campus. If you intermit or withdraw from your course, you must return to your home country, unless you transfer to other institutions within Malaysia.

Internal transfer from one course to another*^

Coursework students

The minimum criteria for currently enrolled Monash students to be eligible to apply for an internal course transfer are that they meet the restrictions and requirements listed below:

  • successful completion of units totalling at least 12 points in a Monash University course
  • satisfactory completion of the relevant course prerequisite requirements for the new course
  • performance at an appropriate level in the existing course.

The faculty to which the student is applying to transfer will determine what is an appropriate level of performance. The appropriate level may depend upon both the current course and the course applied for.

Until you know the outcome of your application, you should re-enrol in your current course. If your application is accepted, you must complete: a new 'Course enrolment' form, 'Request for Commonwealth support and HECS-HELP' form (if offered a Commonwealth-supported place) or 'Request for FEE-HELP assistance' form (if seeking FEE-HELP for the new course). You must also apply to discontinue your old award course in writing.

If you are successful in your application to study a different course in the following year, your enrolment in that course will be subject to any applicable conditions and tuition fees. In a limited number of cases it may be possible to defer enrolment for up to one year in the degree to which you have transferred, though not all faculties allow this.

Further information

Permanent campus transfer from Sunway

If you are studying at Sunway you may apply to permanently transfer your enrolment to another Monash campus (after completing a first year of study at Sunway) or course. Approval of such transfers is subject to successful completion of appropriate units, academic performance and faculty consideration, and is not guaranteed. If you intend to transfer, you must start planning from an early stage and should obtain information from your school.

Changing home campus

Contact your faculty office if you wish to change your home campus from one campus to another.

Making variations to your study mode and location

Study at a different campus, in another mode, in another faculty or at another institution may only be undertaken where it complies with course rules and faculty policies. Many courses provide you with an option to undertake some electives from another faculty, or from an approved list of units offered at another campus. However, before seeking to enrol in units offered other than on your home campus, you should check your course rules in the relevant University Handbook.

Before seeking to study away from your home campus, check your faculty's policies and guidelines relating to:

  • minimum units required for a course in your faculty or your specific course
  • course completion of last units for degree
  • cross-institutional enrolment and complementary studies
  • enrolment in Open Universities Australia units
  • Monash Abroad study.

Double-degree students wishing to exit their program and graduate with a single degree

If you are enrolled in a double degree and wish to graduate with a single degree you should contact your faculty for advice.

Specific faculty rules

Faculty of Engineering

Under the terms of accreditation of single and double engineering degrees with Engineering Australia, if you wish to exit your double-degree program and graduate with a single engineering degree, prior to having completed all the requirements for the double degree, you will have to revert to single engineering degree candidature and complete all core and elective units and the requisite 192 credit points in order to satisfy the academic requirements for completion of that degree.
