Student records

A. Policy


  • Not permit practices that could result in false academic records (NC 37)
  • An accurate record of academic performance and attendance must be kept for each student (NC 34, NC 35)
  • Providers must record students' attendance (including non-attendance) systematically (NC 39.1)
  • Attendance records must be monitored every fortnight for non-attendance (NC 39.2)
  • Procedures are established for contacting and counselling students who are absent for more than five consecutive days without approval, or who are not consistently attending their course (NC 39.3)
  • Providers must keep records of students including each student's current residential address as supplied by the student and the following:
    • the amount of course money that the student has paid, whether the amount paid was for the full course or part of the course and the duration of such,
    • copies of any written agreements between the provider and the student
    • any amounts that have become payable to the provider by the student for the course and have not been paid (ESOS Regulations, 3.04)
  • These records must be kept for 2 years after the student ceases to be a student (s. 21(3))

B. Guidelines

The university must retain prescribed student records for 2 years. For Monash College and MUELC students, attendance obligations must be met.

C. Obligations

1. Monash International Pty Ltd
 
  • For students enrolled in MC and MUELC maintain a written procedure for the monitoring of attendance
  • Have procedures in place for:
    • Contacting and counseling students absent for more than 5 days in succession
    • For monitoring attendance every 2 weeks
    • Reporting students via PRISMS for breach of the attendance requirement
2. Student Administration
 
  • Retain records of academic performance, student addresses and refunds for 2 years after a student ceases study
