Applying to Graduate
To apply:To graduate, you must complete and submit an 'Application for Graduation' form to the Graduations Unit by the closing date. It is your choice whether you apply to attend a ceremony or not attend a ceremony (called graduating in absentia). Either way, you must complete and submit an application form by the closing date. Applications can be made in three different methods:
Faxed or emailed applications are NOT accepted. Faxed applications are not accepted due to security concerns regarding credit card details and email attachments can be blocked with virus protection programs and applications are therefore not received. Students can participate in any ceremony, but the International Student ceremonies in December can only be attended by international students whose student visa's will expire prior to the Semester 1 graduation ceremonies. However all international students are more than welcome to attend any other local faculty or offshore ceremony as they wish. If international students wish to graduate in absentia, the application will go into the next available faculty semester as there is no in absentia for December International or offshore. Method 1 - Applying on-line through the WES systemApplications can also be lodged on-line through the Web Enrolment System (WES). These applications can only be accepted when using a credit card (Visa or MasterCard). If you do not have a credit card and wish to pay in cash, cheque or EFTPOS, you must complete an application form using an alternative application method. You will need to log into WES using your AuthCate username and password and complete the process located under 'Application Forms'. Please note that you must remember to retain a copy of all receipts in case a refund is required. Any refunds must go back to the original credit card used, so please make note of which card you use. Method 2 - Downloading an application formTo apply to graduate, you must complete and submit an application form by the closing date. Choose where you wish to graduate (see list below) and download the appropriate application form. It is entirely your choice of the location of your ceremony or whether you wish to attend a ceremony or graduate in absentia (ie. not attend a ceremony). There is a fee payable to attend a ceremony but there is no fee to graduate in absentia and have your testamur posted out after conferral.
Completed forms must be submitted in person or mailed to the address provided on the form. Payment must be forwarded with the application and can be by cheque, money order, Visa, MasterCard or EFTPOS and cash if lodging in person at any Student Service Centre except Sunway campus where the payment must be by Bank Draft or credit card only. Method 3 - Completing a form available at any Student Service CentreApplication forms may also be obtained from Student Service Centres on any campus and staff can assist you to complete the form if you wish. Application fees:If you choose to attend a ceremony, either in Australia or offshore, the fee to graduate is $170. Payment must be forwarded with the application form (attending only). The graduation fee covers hire of your academic dress for the ceremony, tickets to the ceremony for both you and three guests, copies of the graduation program, your pouched testamur including an official academic transcript and refreshments for both you and your guests after the ceremony. There is no fee for those students graduating in absentia (ie. not wishing to attend a ceremony). Eligible students graduating in absentia have their testamurs conferred at their faculty ceremony. Testamurs are then posted out within two-three weeks after their ceremony date to their postal address. Please note for overseas postage of testamurs, a current secure residential or business address is required and overseas PO boxes will not be accepted. Name details:The name used at graduation will be the same as that held on the University Student Database (Callista). If you want to change the name on your testamur and academic transcript, contact your Student Services Centre. You will need to provide appropriate documentation eg. marriage certificate etc. Conferring both pass and honours degrees:A student who has applied to graduate for both the pass degree and the honours degree and who wishes to graduate with both degrees may not be awarded both degrees in person at the same ceremony. One will be awarded in absentia. Please make sure you lodge two application forms. Generally graduands prefer to attend for their honours degree and have their pass degree awarded in absentia. Confirm receipt of application:Lists of student ID's for applications received for Semester 2, 2009 are now shown on the web site. Please note that application forms are not individually acknowledged. Graduands should check the website if they wish to confirm receipt of their application form. Please note that when faculties such as the Faculty of Business and Economics have multiple ceremonies, graduands cannot choose their ceremony time. The allocation is based on academic cohorts and balancing the numbers in respect to the seating capacity of the hall. Special Needs:If you or one of your guests have a special need (eg. wheelchair access or assistance on stage, parents of infants requiring aisle seats near exit doorways etc) there will be an opportunity to advise us of those needs later when we confirm the time and date of your graduation in writing. You will need to return the form and indicate your special needs to your ceremony co-ordinator and we will endeavour to accommodate your needs. Studying a Summer Unit?You will generally NOT be eligible to graduate in first semester. This is due to the date of the release of summer results and the commencement of the March graduation ceremonies in Semester 1. |
