WES instructions - HDR students

This guide explains:

  • what you can do in the Web Enrolment System (WES)
  • how to complete the HDR Annual Questionnaire
  • using WES to re-enrol
  • how to apply for help to pay the Student Services and Amenities Fee (SSAF)
  • read-only access
  • WES system timeouts.

What you can do in WES
  • Re-enrol
  • View fees and scholarship information
  • Get exam timetables and results
  • Apply for course and other information
  • Purchase online, eg. academic records, student letters

Contact details
Click Postal Address
Check and update if needed
We post all mail to this address so it must be correct

If you are on a scholarship, see change of name or address

Click Emergency Contact Details
Add details
Get the person's permission to use them as your emergency contact  
Click Mailing Name Format (optional) You can change the way your name appears  
HDR Annual Questionnaire
Check course details are correct This is shown in the Status column of the Enrolment row

If incorrect, contact MIGR

View the Enrolment link If the Enrolment link is read-only, the most likely reason is that you have to complete the Annual Questionnaire  
Near the red text, click the here link Monash requires you to complete this questionnaire every year  
The questionnaire login displays Log in Use your student authcate username and password

Click your course This is in the Degree column of the course selection table HDR course selection page

Click Continue

Fill in the questionnaire
You must complete all 10 sections HDR candidature

Click Submit

Print the confirmation

Click RE-ENROLMENT to return to WES   HDR successful completion

Click Faculty and Course to check requirements before enrolling   Candidature & course

Check submission date If you need to extend your candidature, contact MIGR or your faculty  
To add coursework units, click the email link If your research percentage is less than 100%, you have a coursework component

Email your faculty the units (name and code) you wish to enrol in

Your faculty enters approved units for you

Click I would like to re-enrol into my research for ... The re-enrolment button disappears until the following re-enrolment period  
Print your Transaction Number (begins with U) WES emails transaction numbers to your Monash account. You must show this number to pick up your student ID card Successful submission

SA-HELP
On the Enrolment summary screen, click SA-HELP Applying for SA-HELP is optional. Only domestic students are eligible to apply

The SA-HELP link will not be active unless you are eligible and you have enrolled in units.

Submit the SA-HELP form To defer payment you must provide your tax file number

Read-only access

Prior to enrolling You will have read-only access if:
  • You have not completed your Annual Questionnaire
  • You do not have any research units to enrol in
  • You have submitted your thesis
  • Your thesis is due this year

WES timeout

WES will timeout if you don't use it for 20 minutes. The inactivity timeout helps prevent someone else accessing your account while unattended.

Remember to logout.
