March Careers Festival - Exhibitor's Guide

Before the Festival

We will send all correspondence to the contact person nominated in your registration form.

Information pack

You will receive an information pack at least two weeks before the event. This will include a campus map, parking permit, lunch vouchers and information about the networking session (if selected at registration).

Publicity

We will publicise your participation online and on-campus and provide details to all students who attend.

You should:

  • login to Career Gateway to advertise your job vacancies
  • prepare enough material for the festival. We anticipate over 2000 students will attend each session of the festival
  • consider using materials that are environmentally friendly and re-usable.

Sending materials for the Festival

You can send materials and displays by courier, only at these times:

  • Tuesday 5 and Wednesday 6 March, 8am - 5pm
  • Thursday 7 March before 9am.

You must:

  • label every item with March Careers Festival and your organisation's name
  • instruct couriers to go to Monash Sport reception counter for directions of where to place your items.

Dropping off materials

Drop off heavy materials in the loading bay behind the Doug Ellis Pool building. Our staff can help, but delays are possible due to the number of exhibitors.

Only taxis and couriers can use the small loading bay in front of Monash Sport. Other vehicles must not use this loading bay to unload materials. The campus is subject to State traffic laws. You may be fined for leaving your vehicle unattended or for stopping on the roadway.

Parking

If you ordered a parking permit, you will receive it in your information pack in the mail. You must:

  • park on the top level of the multi-level car park (SE4 - building 71). Your permit is valid in Blue parking bays. See campus map (pdf 312kb)
  • display the permit on your dashboard.

Setting up

Our staff will show you to your exhibition area. This will be equipped with a table, chairs and access to a single power outlet (no internet connection or tablecloth is provided). Displays and representatives must not block other exhibitors or traffic flow. Your display must be less than three metres wide and attended by a maximum of six representatives.

Networking session

Seminar Room, Monash Sport (Building 1), Clayton campus

Participating employers will be allocated a 45-minute timeslot between the exhibition sessions to provide one-to-one feedback with approximately five students. The students will have attended a preparation workshop to practise their networking technique. Further information about this session will be in your information pack.

We will contact you before the Festival to ask for your logo for use in additional promotional opportunities.

Catering

The registration cost includes lunch for up to three representatives per organisation. Lunch will be a hot and cold buffet with vegetarian options, served in the Games Hall.

In your registration form, you must select the number of lunch vouchers you require. If you choose more than three, you will be charged A$38.00 per head for the extras.

Coffee, tea and water are provided throughout the day.

Packing up

For courier collection:

  • arrange collection between 5.30pm and 8.00pm on the day of the festival. If necessary, it can be collected before midday on Friday 8 March
  • label every item with your organisation’s name and keep items together
  • speak with our staff to ensure we move items to the pick-up location
  • couriers must come to Monash Sport reception and tell us your organisation’s name (not theirs) to collect items.
